Avent Connect recently had the pleasure of project managing a community workshop organized by the Local Arts Collective. Although the event was modest in size, with around 75 attendees, it required careful planning and coordination to ensure the workshop ran smoothly and provided a meaningful experience for participants.

The project management scope involved overseeing the logistical setup for a single-day event, including managing the workshop schedule, coordinating AV needs for the presentations, and ensuring that all materials and supplies were in place. The event space was a community center, with a small stage area and breakout rooms for group activities.

Our approach began with a detailed event plan that covered everything from the layout of the room to the timing of each workshop session. We coordinated with the speakers and facilitators to ensure that their AV needs were met, which included setting up a projector for presentations, ensuring sound equipment was available, and troubleshooting technical issues.

With a smaller event like this, clear communication was key. We stayed in constant contact with the event organizers and facilitators to ensure everything was on track and that any last-minute adjustments could be made seamlessly. We also worked with the venue staff to make sure the space was arranged to facilitate the various activities and transitions between sessions.

Throughout the day, our team monitored the event flow to ensure it stayed on schedule and that participants had everything they needed. From providing technical support during the presentations to managing the breakout sessions, we kept the event running smoothly from start to finish.
